Build the onboarding workflow

Drag elements into any order on the workflow builder, configure each one, and confirm the sequence to start outreach.

From Manage Onboarding, drag elements like Mail Policies, Collect Documents, Send Orientation Invite, Create Offer Letter, and Onboarding Paperwork into whatever order you want candidates to receive them. Configure each step, then click Confirm to review and start mail outreach in that exact order. This continues from Start onboarding for a candidate.

    Drag elements into the workflow
    Recruiter dashboard, Manage Onboarding screen. Drag elements from the Task Library, Mail Policies, Collect Documents, Send Orientation Invite, Create Offer Letter, Onboarding Paperwork, into the Trigger Workflow queue in whatever order you want. Whatever sequence you build on screen is the exact order candidates receive each task. Click any step in the queue to open it in the Task Details panel and configure it.

    Configure Mail Policies
    Recruiter dashboard. Click the Mail Policies step in the queue to select which documents from your organization's policy library to send this round. To add a brand-new policy on the spot, drag a PDF, JPEG, or PNG directly into the upload area, or click to browse, optionally giving it a title. It's saved into the org library automatically for future use. You can also rename, delete, or preview any existing policy from here.

    Collect Documents: add a required field
    Recruiter dashboard. Select Collect Documents in the queue, then click + Add Field to request a document from the candidate. Nothing is required until you add at least one field here.

    Fill in the document field
    Recruiter dashboard. Enter a Document name (for example Driver's License), optional Instructions for the candidate, and check which Allowed formats, PDF, JPEG/JPG, PNG, or Word, you'll accept, then click Add to checklist to save it.

    Drag in Send Orientation Invite
    Recruiter dashboard. Drag Send Orientation Invite into the queue as the next step. Collect Documents now lists every saved document, Driver's License, Employment Authorization Document, US Passport, confirming they're locked into this candidate's sequence.

    Set orientation details
    Recruiter dashboard. Fill in Date & Time, Location, Virtual link, and optional Notes, plus an Email Subject. Leave Email Body blank to auto-generate one, or write your own.

    Preview the orientation email
    Recruiter dashboard. Click Preview email to see the exact Subject and message body the candidate receives, including the date, time, location, and virtual link you entered, before anything sends.

    Build the offer letter
    Recruiter dashboard. Drag Create Offer Letter into the queue, then fill in Job Title, Salary, Joining Bonus, Start Date, Compensation Breakdown, Employment Type, Location, and Work Address manually, or use Upload CSV to populate the offer in bulk. Click Template first for the exact column headers: email, jobTitle, annualSalary, joiningBonus, startDate, offerValidity, employmentType, location, baseComp, equityComp, allowanceComp. Each row is matched to a candidate by email, and matching rows auto-fill that candidate's offer form. If a candidate's email doesn't match any row, a warning badge appears on this step, since their offer won't be filled in.

    Switch to Preview
    Recruiter dashboard. Click Preview to confirm the offer details you entered, job title, salary, start date, location, and more, are correct before generating the finished document.

    Preview and download the offer letter
    Recruiter dashboard. The Preview tab renders the finished Offer of Employment document with compensation details and additional clauses. Use View PDF or Download to save a copy.

    Onboarding Paperwork: the last step
    Recruiter dashboard. Onboarding Paperwork is always last, it sends the candidate a form link collecting personal info, tax, direct deposit, and uniform details. Once every step shows a checkmark, click Confirm Sequence to start mail outreach in that exact order. See Candidate view: signing policies and uploading documents for what happens next.

    Confirm the sequence and start onboarding
    Recruiter dashboard. Clicking Confirm opens a review dialog showing how many candidates will be included, and any candidates skipped, for example because they're already mid-onboarding, or missing an email on file. If Offer Letter is in the queue, a live progress bar tracks each candidate's offer PDF being generated, which must finish before you can proceed. Click Proceed to lock in the sequence and fire the first step immediately; a confirmation toast reads "Onboarding started for N candidates," and you're returned to the Dashboard.
