Search, filter, and manage every candidate in onboarding, and how to mark someone Hired or revoke their offer.

Once a candidate reaches HR Accept, they show up in the Onboarding Suite Dashboard alongside everyone else moving through onboarding. This is where you track progress, take bulk actions, and open a candidate's full record.

The candidate table

Each row shows: Candidate (name and status badges), Role, Project, Joining Date, Comp. Summary (base salary and allowance), Tasks done (a progress indicator), and Actions.

Search and filter

    Search by name
    Type into the search box to find a candidate. Results update automatically as you type.

    Filter by status
    Use the status filter to switch between All, Paperwork Pending, and Revoked.
  3. 3
    Filter by project
    Use the project dropdown to narrow the list to a specific project. It's searchable if you have many projects.

Quick actions from the list

    Edit a joining date
    Click the pencil icon next to a candidate's joining date to update it inline, without opening their profile.

    Start or view onboarding
    Candidates who haven't been sent a workflow yet show a Start onboarding button. Candidates already in progress show a View button that opens their profile.

    Open the project
    Open a candidate's project in a new tab directly from their row.

Bulk actions

Select candidates using the checkboxes on the left of each row. Two bulk actions appear once you have a selection: Manage Onboarding, which opens the workflow builder for everyone selected, and Add to Paylocity, which is only visible if your organization has Paylocity enabled.

Marking a candidate as Hired or revoking an offer

These actions live on the candidate's profile page, not the dashboard row. Open a candidate to find them.

    Mark as Hired
    Once every task in the workflow is complete, the profile shows an "All onboarding steps complete" box with a Mark as Hired button. Confirming this freezes all onboarding steps. No further tasks or emails can be sent to the candidate after this.

    Revoke Offer
    The same box has a Revoke Offer button, shown in red. Confirming this cannot be undone. Anything already completed, like a signed offer, stays on record, but no further tasks are triggered.

Q: Can I undo marking a candidate as Hired or revoking their offer?

No, both actions are final and cannot be undone from the product.

Q: What does "Paperwork Pending" mean in the status filter?

It shows candidates who still have onboarding paperwork left to complete, so you can find who's stuck without opening every profile.

Q: Can I change a candidate's joining date after onboarding has started?

Yes. Use the inline edit on the joining date column at any time, it doesn't affect tasks already in progress.
