Office Manager Job Description

Location: On-siteHybrid schedule with in-office work days on Monday, Wednesday, and Thursday – it is crucial that the candidate is committed to being in the office on those days and willing/able to come to the office as needed on Tuesdays and Fridays when required.

Overview: We are looking for a highly proactive Office Manager to provide dedicated support to our leadership team and oversee the office operations at our corporate headquarters. The Office Manager will report to our Co-CEOs and play a pivotal role in optimizing the executive team’s daily operations, scheduling, and communications. Additionally, this role will be responsible for ensuring organizational effectiveness within our office through various office management and administrative tasks.

Key Roles & Responsibilities:

  • Proactively arrange and schedule meetings with internal and external stakeholders by managing the executive team's schedules.
  • Help the executive team with trip logistics by booking hotels, flights, cars, and itineraries.
  • Find and keep an eye out for ways to increase the executive team's efficiency and output.
  • Be discreet and professional when handling private and sensitive information.
  • Offer complete office support, which includes keeping up with supplies and equipment, keeping an eye on incoming mail, and overseeing general office management.
  • Organize team communications and plan events, including socials & offsite gatherings.
  • Maintain communication channels by regularly updating our company website, creating internal newsletters, and maintaining weekly meeting trackers.

Skills & Qualifications:  

Required Qualifications:

  • Bachelor's degree required
  • 3+ years of experience as an Executive Assistant or in an administrative role supporting senior executives
  • Demonstrated experience working in a fast-paced and changing environment

Preferred Qualifications: 

  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Demonstrated ability to handle confidential and sensitive information with integrity and maintain a high level of professionalism
  • Excellent organization and time-management skills

Salary Compensation Range:

The base salary range for the Office Manager is USD 140,000 – $160,000 per year.
